Once you have found duplicate records between entities, with a Cross-Entity Search, you can qualify the Lead record by converting it into the Contact or Account record. Depending on your MS Dynamics settings you can choose to use the existing Contact and Account or create new records. You also have the option to create an Opportunity.
When converting a Lead into an existing Account and/or Contact, field values in the Contact or Account record take precedence over the Lead record value; unless a field is empty, then the Lead record value is kept.
Prerequisites
- You have the Duplicate Check User or Duplicate Check Admin role
Converting records
- When you have located duplicate records, click Convert to merge them. For example, at the 'Duplicates Found' tab of a record, or after clicking 'View Results' at a completed DC Job, click Convert
next to a match record to convert the Lead record into it.
- After clicking 'Convert', the Convert modal opens.
- Review the convert values. Depending on your global settings you can choose to use the existing values, create new ones, or clear the values. Click Convert.
- The Lead record is now converted into the selected record. Once finished, a pop-up message will confirm a succesful convert, with clickable links to any newly created records.
- Click Finish.
- If you converted from the Duplicates Found tab you are returned to the now qualified Lead record.
- If you converted from a job results overview, you are returned there. The group that you converted has now been removed from the job results.
Converting and MS Lead Qualification settings
In de Convert modal, depending on your MS Lead Qualification Experience settings, you can either only choose to use the provided values or select different ones as well.
Generally speaking, with Automatic Accounts or Contacts you can only use the values as provided. With Seller Accounts or Contacts you can also select other existing accounts or contacts, create a new record, or clear the given value.
For now, the Opportunity value cannot be changed. Depending on your system settings, either an Opportunity is created, with the Lead Topic value as the name, or it is not created.
