Send SMS Message on Record Assignment

This feature requires you to have an account with TextMagic or a comparable SMS provider. TextMagic provides pay-as-you-go for SMS messages, with a free trial so you can test it out.

Plauti Assign is configured to send SMS alerts to the assignee by Match Group - so if you wish you can have a single Match Group (maybe a high priority one) that sends out SMS alerts as well as the email notification.

Email-to-SMS address

This article explains the steps for using TextMagic for this, but the process is approximately the same for other SMS providers. Most important is that you end up having a unique Email-to-SMS address for each user, that has the format of an email address and will forward an email to the user's phone number as a text message (SMS message).

Steps to Follow in TextMagic:

  1. Sign up with TextMagic. No credit card is required for the sign up process. You get a little bit of credit (10 messages) to test the service. Select the Default sender settings when prompted during signup.
  2. For each Assignee that you want to enable for SMS alerts, add their email address in TextMagic. In the menu on the left, select Services > Email to SMS. Click the green 'Add allowed emails' button. Add each Assignee's email address.
  3. Alternatively, if you have lots of users, you can email support@textmagic.com and ask them to enable the "Email to SMS" service for all emails that originate from your email domain. This is the easiest option if you have many users and/or they change often. Their support team don't like to whitelist new accounts and might say this isn't possible, if you get that just show them the following screen with the *@digitaldoctrine.co wildcard whitelist:

Steps to Follow in Salesforce:

  1. Go to Salesforce Setup > Object Manager > User Object > User Page Layouts.
  2. Click the User page layout where you want to add the field.
  3. From the Fields section, drag the Plauti Assign Email to SMS Address field onto the User page layout.
  4. Click Save.


     
  5. Go to Salesforce Setup > Administration > Users > Users.
  6. Open a User record where you want to enable Email To SMS and click Edit
    Alternatively, open an Assignee in Plauti Assign, and click the User > User Details > Edit.
  7. Scroll to the section where you added the field (e.g. Additional Information) and find the Plauti Assign Email to SMS Address field.
  8. Enter the unique email-to-sms address for the user. For TextMagic it should have the format countrycodecellphonenumber@textmagic.com; e.g. 15035550123@textmagic.com for cell phone number ‘+1 5035550123’.
    Click Save.
  9.  Repeat steps 6-8 for all users where you want to enable Email To SMS.

Steps to Follow in Plauti Assign:

  1. Go to Assign Setup > Match Groups.
  2. Open the Match Group where you want to enable SMS notifications.
  3. On tab Assignees, open the Assignee that should receive new record SMS alerts and click Edit.
  4. Toggle Send SMS Notifications to Active.
  5. Click Save.
  6. Repeat for all Assignees that you wish to receive SMS alerts. 

    If a user is an Assignee for multiple Match Groups, enable it on each Match Group where the user should receive SMS notifications. It is possible to enable it on Match Group A and leave it disabled on Match Group B; in that case the user will only receive a text message if they get a record assigned via Match Group A.

Notes:

  • We don't monitor, manage or limit the number of SMS messages triggered by lead assignment. You are responsible for assessing what the cost impact of this is on your organisation.
  • If you have a different Email to SMS provider already, just use the email address from your existing provider.
  • The 'Email to SMS Address' must be formatted as an email address. If you enter an ordinary email address, you will simply receive the alert to that email address inbox.
