All Plauti Deduplicate configuration options

The Plauti Deduplicate configuration options are located on the Deduplicate Setup page.

 

Prerequisites

  • Users who are not a Salesforce Administrator can view the settings in Deduplicate Setup, but not edit them. For non-Admin users to be able to edit the settings, they need the "Customize Application" SF system permission.

Accessing Deduplicate Setup

To access the Deduplicate Setup page:

  1. In the Salesforce App Launcher top left, open the Plauti Deduplicate app.
  2. In Plauti Deduplicate, click the Deduplicate Setup tab.

The Deduplicate Setup tab opens on Home. 

All configuration options for Plauti Deduplicate can be accessed via the menu at left. These configuration options are described in short below.

Home

The Deduplicate Setup Home page shows a dashboard with metrics about your Configured Objects and most recent Deduplicate actions. 

  • Click the Getting Started button top right to get a guided tour of the most important Deduplicate features. After installing Plauti Deduplicate, we recommend starting here, to get an idea of the different Deduplicate features and processes before you start configuring the app.
  • The question mark button top right takes you to this knowledge base. This button can be found on most of the Deduplicate Setup subpages as well.
    More information about Plauti Deduplicate can be found via the links in the Information section.

Below the metrics dashboard, at the bottom of the page, a summary of your License information is displayed.

  • The Show More button takes you to the ‘License’ section with all license details.

Object Configuration

In the Object Configuration section you can configure those Deduplicate features and settings that can differ per Object, such as Scenarios, Object-specific settings, Merge Rules, Cross Object settings, the Search Index, and more.

The Object overview displays what has already been configured for each Object.

  • Click + Add Object to add an Object for use with Plauti Deduplicate.
  • Click Configure at the right of an Object to configure it.

AI Data Steward

Plauti Deduplicate features several AI-assisted options, such as AI Merge Recommendation and AI Match Recommendation. To comply with privacy regulations, using these features requires signing a Data Processing Agreement (DPA) first. 

  • Click Sign DPA top right to sign the DPA. 
    If the button is greyed out, you have already signed the most recent version. This is also confirmed with a green banner in the Data Processing Agreement (DPA) Status section of the page.
  • Click Edit to enable or disable the different AI-assisted features. 
    If the button is greyed out, the DPA needs to be signed first.
    AI Merge Recommendation and AI Match Recommendation can be enabled here; the AI Scenario Builder is enabled as soon as you signed the DPA.

Analytics

Get detailed insight in duplicates found, records merged and records converted over a period of time in the Analytics section. Compare with previous months to see how the battle against duplicates evolves. In addition, find out what percentage of incoming records is duplicate.

Enable the ‘Simple Analytics’ setting in the Settings to start tracking metrics for usage analytics to display here and on Home.

Audit Logging

Audit Logging keeps track of all actions performed in Plauti Deduplicate by all users. The logs display information such as action type (merge, prevention, etc), the executing user, object, record (clickable) and date/time. Quickly find certain logs by applying a filter at the top of the page.

Enable the ‘Audit Logging’ setting in the Settings to start recording logs.

There is no storage limit for Audit Logs other than the storage capacity of your Salesforce Org.

Frequent Words

The Frequent Words feature lets you define frequently used words that will not be taken into account when checking for duplicate records. Plauti Deduplicate offers standard lists of common, frequent words, that you can update as well. Before you create a new list, first review the existing lists and add or remove words if needed.

Create or update lists of frequent words to use in fields that you are using in scenarios. Then indicate in your scenarios if and which frequent words list should be used when searching for duplicates. 

The frequent words lists are applied per scenario field, and you can only select one list per field. Therefore it makes sense to have lists of words that are of a similar type.
You can apply a frequent words list to multiple scenario fields.

  • Switch between the "Common", "Company", and other tabs to review the different lists.
  • On a list, click Add to add new frequent words to that list. 
  • At right, type one or more letters in the Filter Words box to quickly find out if a word is already present in the list.
  • Click on a word's X icon to delete a word from a list.
    The default words provided by Plauti Deduplicate cannot be removed.

Synonym Matching

Synonym Matching lets you define words that are different, but that should be considered duplicates of each other.

Create lists of synonyms for fields that you use in scenarios. Then indicate in your scenarios if and which synonym lists should be used when searching for duplicates.

The synonym lists are used per field, and you can only select one list per field. Therefore it makes sense to create synonym lists based on the different fields you use in scenarios. Create synonym lists for example for first names, country names, departments, business entity types, job titles, etc.
You can apply a synonym list to multiple fields.

  • Click Add List to add a new list of synonyms of a similar type (e.g. a list of first names).
  • Click Add Synonyms to add a word and its synonyms to a list, separated by commas or comma spaces.
    All words that are synonyms of each other should go on one line. To add a new word and its synonyms, hit "Enter" to add a new synonym line.

Discarded Items

The ‘Discarded Items’ menu item opens the Plauti Deduplicate Discards tab. Here you'll find an overview of all record pairs that were marked to be not shown again as duplicates.

In duplicate search results you can discard certain records from the duplicate results. All record pairs that were permanently discarded, via one of the options that mention “do not show again”, are displayed here on the Plauti Deduplicate Discards tab.

In list view All, add the Created Date and Relation fields (or others) to quickly see more information about the discarded record pairs. Or open a Discard Item to see more details.

To undo a discard action, and let the discarded record pair show up in duplicate searches again as a duplicate, delete the Discard Item in question via its Action menu at the right, or with the Delete button at the top when you have the Discard Item open.

Settings

The general Deduplicate Settings, that apply to all of Plauti Deduplicate, are located here. These concern general settings for Duplicate Prevention, Merge and Convert, the Search Indexes, Apex Plugins, and more. Note that each Object can also have object-specific settings for these subjects in the Object Configuration.

  • In each section, click Edit to configure the settings.

License

Find your Plauti Deduplicate license information here, such as your current Plauti Deduplicate edition, license expiration date, your ORG ID, record limit, all the features included in your current edition, and more.

  • Click the Refresh License button at top right to activate a recently changed license.

The License Features, features marked with a green tick mark, are available for your Deduplicate edition. The features under Unlicensed Features are not available and require a different license edition.

  • Click Upgrade Now to upgrade to an edition with more features.

Setup Check

Use the Setup Check to find internal errors in the Plauti Deduplicate app. If you have for example fields configured in scenarios that are then deleted or changed in your Salesforce org, this could trigger errors when using Plauti Deduplicate. The Setup Check tool can detect these errors and fix them as well.

  • Click Start Check to start the Setup Check if it doesn't run automatically.
  • Click Fix or Fix All to solve the detected errors.

Export / Import Configuration

The Export / Import feature lets you transfer entire Plauti Deduplicate configuration sets between different Salesforce Orgs. For example, try out different Plauti Deduplication configurations in a Sandbox org, and transfer it to production once you are satisfied with the setup. Or create a regular backup for your Deduplicate configuration.

Export Configuration

Exporting the Plauti Deduplicate configuration will download a file to your hard drive (as configured in your browser settings), which you can then import in a Plauti Deduplicate installation in a different Salesforce org. 

  • Click Export Configuration on subtab Export to export your PD configuration.

Import Configuration

Importing a Plauti Deduplicate configuration file will replace all existing Plauti Deduplicate configuration in that Salesforce environment. It is not possible to undo this!

  • Click Upload File to upload a Plauti Deduplicate configuration .json file.
  • Click Import Configuration to import the uploaded configuration file.
