Location of Plauti Data Processors

Where is your data processed in those cases where it leaves Salesforce or MS Dynamics?

 

Most of Plauti's apps are native, meaning the data that they handle does not leave your Salesforce Org or MS Dynamics environment. However, in some cases data is processed outside of your Org or Environment. 

Do note that ‘external processing’ always means temporarily processing only. External data processing is limited and transient: only relevant data is sent over SSL to the external processor, used once, and then deleted. 
The only exception is when you actively choose to export data for external use with one of Plauti's Export features, but then you yourself decide on its destination (usually your own machine). 
Salesforce and MS Dynamics' own exporting and reporting features are not taken into account in this knowledge article.

When does data leave the Org or Env?

Plauti Deduplicate

  • Jobs

In Plauti Deduplicate, small processes such as manually merging a few records, or detecting duplicates with Deduplicate Live, are always done natively, so fully within your Org or Env. Only when you run larger processes such as Deduplicate Jobs or Search Index Jobs might data leave the Org or Env; but even then you can choose where your data is processed. For example, when you run a Deduplicate Job in Salesforce, you can choose to run the job within Salesforce (all data stays within Salesforce), or on Plauti Cloud, Desktop or Server. in MS Dynamics jobs cannot be run within the Environment, but you still have the choice between Plauti Cloud or Plauti Desktop/Server.

  • AI-assisted features (Plauti Deduplicate for Salesforce)

The AI-powered features in Plauti Deduplicate, such as AI Match Recommendation and AI Scenario Builder, temporarily send data to Plauti's AI sub-processor. The sub-processor is listed in the DPA that you signed when enabling the AI-assisted features. The AI only processes data requested by a user with the appropriate permissions; it cannot independently access your systems. Furthermore, the AI-generated suggestions that are returned are always visible, and require your confirmation before any changes are applied, unless explicitly stated otherwise.

  • Export and Sharing (Plauti Deduplicate for Salesforce)

Plauti Deduplicate has a few features where users can choose to export or share data. 

Deduplicate Job Results can be exported via a Deduplicate Export Job that runs on Plauti Cloud or Desktop (not on Plauti Server). You then choose where to download the job results file.

Via Deduplicate Setup you can choose to export your Plauti Deduplicate configuration. This will download a file to the download folder configured in your browser. It contains the Deduplicate settings as you configured them in Deduplicate Setup, that you can use as backup or import into another Org.

Some data in Plauti Deduplicate, for example Deduplicate Job results or a Merge page, can be shared with others via a Share option. However, when sharing this type of data, you do not actually share the data itself, but only a link that leads to the data. Recipients need to have access to your Salesforce Org to be able to use the link; no data leaves Salesforce when sharing such a link.

  • Telemetry

If enabled in the Settings, you share analytics with Plauti in order to improve products and services. This data is fully anonymized and does not contain any business data, only metadata about app usage.
 

Plauti Verify

  • Validation

Validation of email, phone and address data is done outside of Salesforce, via Plauti's sub-processors. Only the data that needs to be validated is temporarily transferred to a data validation server and processed there, but it is never stored outside of Salesforce.

  • Telemetry

If enabled in the Settings, you share analytics with Plauti in order to improve products and services. This data is fully anonymized and does not contain any business data, only metadata about app usage.

Plauti Manipulate

  • AI Actions

The AI actions Ask AI, Ask ChatGPT and Ask ChatGPT Vision are AI-assisted features where you select and manage your own LLM for handling data. When you use these ‘Ask AI/ChatGPT’ actions, the prompts, field values, and documents you include in an action configuration are sent to the AI model of your choice. 
Via these actions, that AI model then only has access to:

  • The main prompt and follow-up prompts you define in the action,
  • The fields and their content that you explicitly reference in the prompts (using Field Variables),
  • The selected records that are being processed by the action, and any records you added to that selection via ‘Add Additional Data’, 
  • and any files you ask it to process via the action configuration.

The AI model (LLM) cannot query other records on its own, nor can it bypass your configured field selection for the selected records.

  • Telemetry

Plauti Assign

The only data to leave Salesforce when using Plauti Assign is anonymous metadata.

Plauti Apps

Next to the different Deduplicate-related jobs that Plauti Cloud, Desktop and Server can run, these apps also have an Export feature. The Export Data Flow, currently available for Salesforce and soon for MS Dynamics as well, can export Object data you select to a downloadable CSV file.

Where is data processed?

Plauti Verify

In Verify Setup > Settings > General, at the ‘Data Validation Server Region’ setting, you can select where Plauti Verify data should be processed: in Europe or the United States. 

  • The country/state specification of this setting (the Netherlands or Iowa respectively) applies to the data center Plauti Verify is using for validating email addresses and phone numbers
  • Our email validation provider might be located in a different country or state, but always in the same region as selected at ‘Data Validation Server Region’.
  • For address validations we currently cannot guarantee that data will always be processed in the selected region.

Plauti Cloud

Plauti Cloud processes all data on servers that are located in Western Europe. Data is transported there and back via a secure connection. Record data temporarily resides on a fenced-off, dedicated virtual machine for processing. Once the job is finished (or fails), the virtual machine is terminated and all data is removed.

Plauti Desktop and Plauti Server

Plauti Desktop and Plauti Server process all data on your own local servers and machines. Data is transported there and back via a secure connection. Record data temporarily resides on on your own local servers and machines, but is removed after a job is finished (or fails).

Plauti-managed AI features (DPA-based)

For now, the Plauti-managed AI features process data via a sub-processor that is located in Western Europe.

With those AI-assisted features where you select and manage your own LLM for handling the data, it depends on the selected LLM where data is processed.

Plauti Export features

All Plauti Export features create an export file for download. 

  • Deduplicate Export jobs via Plauti Cloud or Desktop: 
    After clicking “Download Export Result” or “Download Results File” at the finished export job, the export file is downloaded to the download folder as configured in your browser settings (when exporting via Plauti Cloud), or to /Users/<your-username>/plauti-apps/plauti-deduplicate-files/ on your machine (when exporting via Plauti Desktop).
  • Export Data Flow in the Plauti Apps: 
    After clicking “Download Export Result” at the finished data flow, the export file is downloaded to the download folder as configured in your browser settings (when exporting via Plauti Cloud), or to /Users/<your-username>/plauti-apps/dataflow-files/ on your machine (when exporting via Plauti Desktop/Server).
  • Deduplicate Configuration Export: 
    After clicking “Export Configuration” in Deduplicate Setup > Export / Import Configuration > tab Export, the export file is downloaded to the download folder as configured in your browser settings.
