Introducing the new Plauti Assign: Smarter, faster record assignment – built for control and flexibility

Managing record assignment in Salesforce can quickly become complicated, especially across multiple teams, regions, rules, and working hours. That’s why we’ve taken Plauti Assign to the next level – making it easier to assign every record to the right person with precision and extreme flexibility.

What’s new?
Dynamic assignees
To simplify the maintenance of your MatchGroups we added Dynamic Assignees. With Dynamic Assignees, you can add users to your MatchGroups in bulk based on criteria such as profile, role, division, country, or specific skills.
Additionally, you can enable synchronization of Assignee Assignments, meaning new or updated users will automatically be placed in the appropriate group according to your defined rules. Users will also be unassigned from groups if they no longer meet the criteria or become inactive. This feature saves time and ensures that users are accurately assigned to Plauti Assign, preventing any records from slipping through the cracks.
Distance based routing
We've added a new Distance-Based Operational Mode, which assigns records to the nearest assignee based on the shortest distance (in miles) between the assignee’s and the incoming record’s latitude/longitude.
For example, let’s say a mortgage lead comes in, and you want to provide local advice. With Distance-Based Routing, the lead is automatically assigned to the advisor located closest to them.
Each user record includes stored geolocation data (latitude and longitude). When a lead arrives from Orlando, Florida, a process determines and stores its geolocation—this data can also be retrieved using Plauti Verify. Plauti Assign then checks the lead’s location, and the Distance Radius set in the MatchGroup. Based on this, it identifies the closest eligible Assignee within the defined radius and assigns the lead accordingly.
Plugin based routing
Do you have a specific process for routing records that is not covered by the routing methods in Plauti Assign? No problem. With our new Plugin method, you can implement your logic using two plugins:
- Match: When a record needs to be routed, it attempts to find the best MatchGroup. If the Operational Mode is set to Plugin, the Apex Plugin will determine if this MatchGroup aligns with the incoming record.
- Assign: After matching a MatchGroup via the plugin or the standard match rules, the next step is to assign the record to an assignee. The Apex plugin can also handle this process. Returning the assignee through the plugin will assign the record to that user. Alternatively, you can use the standard Round Robin or Load Balanced methods or create a new Assignee via Apex.
This feature provides complete flexibility and endless possibilities for configuring your specific routing process.
Improved MatchGroup cloning
Suppose you have a new MatchGroup nearly identical to an existing one. In that case, you can now clone this MatchGroup with all its configurations: properties, match rules, assignee rules, rule logic, assignee settings, capacity models, and service level agreements. This is a true time saver when setting up multiple MatchGroups and helps prevent human errors.
Overflow feature
When a team reaches its capacity, any incoming records will be queued for that team. However, if your company operates in a competitive market where rapid responses are essential, it is crucial to have the record assigned to another team with available capacity. With our new Overflow feature, our solution will automatically assign the record to the next MatchGroup that has the required skills and sufficient capacity. Plauti Assign evaluates all MatchGroups to find a suitable team member for the task. If it turns out that no team members are available due to capacity constraints or unavailability, the record will be given a "no match" status. At this point, you can implement escalation rules to involve a senior team member for further assistance.
New team performance dashboard
Track team efficiency with our powerful new analytics dashboard. Building on the existing Metrics Tab in Plauti Assign, which mainly focuses on lead distribution, this new dashboard measures team performance. It provides insights into the records assigned per team and individual members, SLA handling times per team and user, and a leaderboard.
